What is a wedding coordinator and why do I need one?

A day-of wedding coordinator is a person responsible for making sure the wedding day/weekend is executed perfectly. Their roles include overseeing vendors, managing the timeline of events, and overcoming any last-minute challenges or problems that arise. They communicate with caterers, decorators, entertainment, photographers, and the wedding party to make sure everything goes smoothly and according to plan. Planning your wedding is stressful enough, so we suggest hiring a day of coordinator to handle everything on your wedding day so that you AND your family can relax and enjoy the day!

What are the responsibilities of a "day of" coordinator?

Coordination typically begins 1-3 months before the wedding. We provide the following services during that time:


  • Three meetings (initial, timeline, and final walkthrough).
  • Unlimited communication via phone and email.
  • Access to a lead coordinator & 1-2 assistants based on guest count for 12 hours the day of your wedding. 
  • Complete wedding management - we will direct all events to keep your wedding flowing smoothly and on schedule.
  • Provide a detailed timeline for the wedding rehearsal, ceremony & reception - an order of events will allow everything to run smoothly.
  • Coordinate wedding rehearsal; pass out the timeline and discuss the order of events with your wedding party, family, ushers, officiant, and others who might need it.
  • Remind the wedding party of their responsibilities the next day - we will talk to them during rehearsal about where they need to be, what they need to be doing, and when.
  • Coordinate ceremony and reception set up - we will ensure that food, drink, linens, decor, flowers, place settings, and rentals come in according to schedule and are set up in the correct place according to your plans/preferred layout. 
  • Manage vendors - we will communicate with all vendors prior to the event to verify the time of unload, setup, and teardown. We will also forward your detailed timeline and layout, ensuring timeline adherence and proper provision. 
  • Remain easily accessible to assist and resolve any issues that may arise during the event.
  • Coordinate ceremony - we will organize and direct the entrance for the wedding party and family members, make sure the rings are in the right hands, coordinate with the DJ to make sure music is played at the right time, pin boutonnieres, and hand out corsages and bouquets.
  • Coordinate reception - we will make sure that each activity happens to pre-arranged plans including the first dance, family dances, bouquet toss, cake cutting, garter toss, dinner, toasts, and the departure.
  • Communicate with the photographer - we will forward your timeline and shot list to the photographer to ensure all pictures are taken of the bride, groom, wedding party, first dance, family dances, cake cutting, etc. 
  • Coordinate clean up - we will ensure gifts, decor, and other items are put away and given to the correct people.
  • Distribute any final payments/gratuities to vendors at the end of the night.
  • Provide the use of a wedding day "emergency kit" with everything you might need!
  • Provide tips and checklists to get organized for your big day.
